To book a wedding limo, start 6–12 months ahead for a June-to-September Saturday. Write down your addresses and times first, then count passengers and choose vehicles. Wedding cars are hired by the hour, usually 4–8 hours. Planning figures in Hamilton: a stretch limousine is $350–450 an hour and a Sprinter $330–385 an hour, all-in plus HST. Get the plan, timings and cancellation terms in writing before paying.
How to book a wedding limo: the process in eight steps
Booking wedding transportation is less about choosing a car and more about building a schedule. The steps below are the order our coordinator works in. Following them avoids the two classic mistakes: too few hours and too few seats.
- Fix the date and the venues. Getting-ready locations, ceremony, photo sites, reception.
- Write the timeline. Start and end times for each part of the day.
- Count the people who ride. The couple, the wedding party, parents, and any guests you will move.
- Choose vehicles. Match seats and style to each group.
- Request a written plan. Hours, vehicles, addresses, times and total price.
- Ask the questions below. Vehicle ownership, insurance, chauffeur, backup plan.
- Read the contract and cancellation terms. Then pay the deposit.
- Confirm details two weeks out. Final addresses, times and contact on the day.
HamiltonLimo.net prices wedding plans in writing through a coordinator and books them direct. Our wedding limo Hamilton page describes the cars and packages; this guide is about the booking process itself.
When to book: the planning timeline
Wedding weekends compete with each other for the same cars, especially stretch limousines and Rolls-Royces.
| Months before the wedding | What to do |
|---|---|
| 12 to 9 | Shortlist operators; hold a date for any specialty car such as a Rolls-Royce |
| 9 to 6 | Draft the timeline; request written plans; book and pay the deposit |
| 6 to 3 | Confirm guest shuttle numbers; add vehicles if the guest list grows |
| 3 to 1 | Confirm addresses, photo stops and any venue access rules |
| 2 weeks | Send the final timeline; confirm on-the-day contact numbers |
| 1 week | Check the weather plan and any road closures near your venues |
| Day before | Confirm pickup times with dispatch |
For weddings from late May to the end of September, booking six months ahead is the practical minimum for a stretch limousine. Weekday and winter weddings have far more flexibility, sometimes down to a few weeks.
Step one in detail: build the timeline before the vehicle list
Every good wedding transport plan begins on a single sheet of paper with four columns: time, place, who, what happens. The vehicle choice falls out of that sheet.
A typical Hamilton-area day looks like this:
| Time | Movement | Who rides |
|---|---|---|
| 1:30 pm | Pick up the groom's party in Ancaster | Groom and groomsmen |
| 2:15 pm | Pick up the bride's party in Burlington | Bride, parents, bridesmaids |
| 3:00 pm | Ceremony in downtown Hamilton | Everyone |
| 4:00 pm | Photos at a garden or waterfront site | Couple and wedding party |
| 5:30 pm | Arrive at the reception venue | Couple and wedding party |
| 11:30 pm | Guest shuttle to hotels | Guests |
This day needs one car for the couple from about 1:30 to 6:00, one larger vehicle for the wedding party over the same hours, and a late shuttle. Written that way, the booking is obvious. Without it, couples often book one car for three hours and discover at 4 pm that nobody has a way to the reception.

Step two: count hours correctly
Wedding cars are booked by the hour from the first pickup to the final drop-off. Include:
- Travel from the first pickup to the ceremony.
- The ceremony itself, if the car must wait. It usually must.
- Photo sessions, which almost always run long.
- Travel to the reception and a buffer for arrival photos.
- Driving time for the vehicle to reach your first address is not charged separately; it is built into the fare.
Minimums apply: three hours for sedans, SUVs, vans and Sprinters; four hours for stretch limousines; four to five hours for party buses. Extra time is billed in 30-minute blocks. When in doubt, add one hour. Running out of time in the middle of photographs is the complaint we hear most about other operators.
Step three: choose the vehicles
Pick by the group, not only by the photograph.
| Vehicle | Seats | Hourly planning figure | Best for |
|---|---|---|---|
| First-class sedan | 3 | $285–350 (3 h min) | The couple, or parents |
| Business SUV | 5 | $145–175 (3 h min) | Parents or grandparents, with winter traction |
| Executive SUV | 6 | $190–235 (3 h min) | A small wedding party |
| Sprinter | 14 | $330–385 (3 h min) | A large wedding party or guest shuttle |
| Jet Sprinter | 7 | $650–750 (3 h min) | A small wedding party in a VIP lounge with captain's chairs |
| Stretch limousine (partner) | 8–10 | $350–450 (4 h min) | The classic wedding party car |
| Rolls-Royce or Maybach (partner) | 3–4 | from $675 (3 h min) | The couple's arrival and exit |
| Party bus or coach (partner) | 16–56 | priced in writing | Guest shuttles |
All figures are all-in plus HST: chauffeur, vehicle, fuel and gratuity. Stretch limousines, Rolls-Royces, party buses and coaches come from vetted partner operators in the LimousineWorldwide.Directory network; we say so on the written plan. Our own fleet covers sedans, SUVs, vans and Sprinters. See the fleet page for photos and capacities.
Step four: request a written plan
A proper wedding quote is a plan, not a price. It should list, in writing:
- The date and each vehicle by class, with seat counts.
- Every address and every scheduled time.
- Hours booked for each vehicle, and the rate for extra 30-minute blocks.
- The total, with HST shown separately.
- What is included: fuel, gratuity, décor such as ribbons, water.
- Which vehicles come from partner operators.
- The deposit, the balance date and the cancellation terms.
If a quote arrives as a single number in a text message, ask for the rest before you pay anything.
Step five: questions to ask any wedding limo company
These questions separate organised operators from the rest. Ask them of us, too.
- Who owns the vehicle on my wedding day? If it is a partner's car, say so. We do.
- Is the vehicle commercially insured and licensed for hire? Ask for confirmation in writing.
- What year is the vehicle, and can I see photos of that exact car?
- What happens if the car breaks down? There should be a named backup plan.
- Will the chauffeur have the full timeline and a contact on the day?
- How are overtime and waiting charged? Look for 30-minute blocks, not full hours.
- Is gratuity included, or will it be added? In our fares it is included.
- What is the cancellation policy, measured from when? Ours is measured from scheduled pickup.
- Can we bring champagne or drinks? Alcohol rules in Ontario are set by the AGCO; ask what the operator permits and put it in writing.
- Who do I call on the day? A dispatch desk is better than a personal cell phone.
Step six: read the contract
The contract, or the written confirmation, is what you and the operator will both rely on if something goes wrong. Before signing, check:
- The names and times match your timeline exactly.
- Every address is complete, including unit numbers and venue entrances.
- The vehicle class is named, not "similar" or "subject to availability".
- The cancellation schedule is stated as dates or hours before pickup.
- Overtime is priced.
- Damage, smoking and cleaning charges are stated, not open-ended.
Legal paperwork for the marriage itself, such as the licence, is separate and set by the province; see getting married in Ontario.
Cancellation and changes: what to expect
Our cancellation terms are the same for weddings as for every booking, measured from the scheduled pickup time.
| When you cancel | Charge |
|---|---|
| More than 72 hours before pickup | No charge |
| 72 hours or less | 10 % of the booking |
| 48 hours or less | 50 % of the booking |
| 24 hours or less, or a no-show | 100 % of the booking |
Changes to times or addresses are welcome up to the day before, subject to availability. Adding hours on the day is possible if the vehicle's next booking allows it. Reducing hours inside the cancellation windows follows the same schedule. Some partner vehicles, especially Rolls-Royces booked far ahead, may carry different deposit terms; the written plan will say so.

Guest shuttles: the part couples forget
If your ceremony and reception are in different places, or guests are staying at hotels away from the venue, a shuttle solves parking, drinking and late-night taxis in one booking. Typical patterns:
- Hotel to ceremony, ceremony to reception, reception to hotel.
- A late-night loop at 11 pm and 12:30 am for guests leaving at different times.
- Out-of-town guests collected from Pearson or Hamilton airport the day before.
A Sprinter carries up to 14 guests; larger groups need a coach from a partner operator. Our Sprinter group transportation page explains capacities. Guests arriving from out of town can also be booked individually through the Hamilton airport limo or Pearson pages.
Photo stops around Hamilton
Popular wedding photo locations include the Royal Botanical Gardens, Dundurn National Historic Site, the waterfront parks and escarpment lookouts. Many sites require photo permits or bookings, and some limit where vehicles can stop. Check with each site early and put the confirmed photo location into your timeline so the chauffeur knows exactly where to wait. Our Dundurn and Royal Botanical Gardens pages describe drop-off points.
Season, weather and the escarpment
Most Hamilton weddings run from June to October, with the busiest Saturdays in August and September. Heat, thunderstorms and, later in the season, early darkness all shape the plan. Winter weddings bring snow on the Mountain accesses; the chauffeur picks the gentlest route and adds time. Ask whether your operator plans a wet-weather alternative for outdoor photos, such as a covered location close to the reception.
Accessibility and older guests
Tell us about any guest who uses a wheelchair or walker. For passengers who can transfer to a seat, we fold and stow the chair. Our own fleet has no ramp-equipped vehicles; for ramp access we refer to a specialist accessible provider and coordinate timing with them. Luxury vans with sliding doors are the easiest vehicles for older guests to step into.
Paying: deposits and the balance
Expect a deposit at booking to hold the date and vehicles, with the balance due before the wedding day. Pay by card through the booking engine so you have a record. Keep the confirmation email; it is your contract. Never pay a full balance in cash to a chauffeur on the day.
How to book your wedding limo direct
Send your timeline through HamiltonLimo.net's own booking page or the floating "Book now" button, with the date, addresses, times and passenger counts. A coordinator prices the plan in writing, you approve it, and one dispatch desk runs the day. There is no aggregator and no commission. Prom and graduation cars are booked the same way; see prom limo Hamilton.
