Book a limo in Hamilton at least 24–48 hours ahead for an ordinary airport run or hourly sedan, one to three weeks ahead for SUVs and Sprinters on busy weekends, and two to six months ahead for prom, wedding and party-bus dates from April to October. Early booking is low risk: HamiltonLimo.net charges nothing to cancel more than 72 hours before pickup.
How far in advance to book a limo: the quick answer
The honest answer to "how far in advance to book a limo" is: as soon as the date is fixed, because there is no penalty for being early and a real penalty for being late. The HamiltonLimo.net booking page takes a reservation for any future date, shows the fixed all-in fare before you confirm, and the cancellation rule means an early booking costs nothing if plans change more than 72 hours out. What varies is how late you can safely leave it, and that depends on three things: the vehicle, the date and the season.
Lead times by trip type
| Trip | Minimum sensible notice | Ideal notice |
|---|---|---|
| Airport run in a sedan, weekday | 24 hours | 3–7 days |
| Airport run, 4–6 a.m. departure | 48 hours | 1–2 weeks |
| Hourly sedan for meetings or appointments | 48 hours | 1 week |
| Executive SUV or luxury van, weekend | 1 week | 2–3 weeks |
| Sprinter, Saturday May–October | 4 weeks | 6–8 weeks |
| Wedding cars | 3 months | 6–12 months |
| Prom stretch limousine | 2 months | 3–6 months |
| Party bus, weekend | 1 month | 2–3 months |
| Rolls-Royce or Maybach | 1–2 months | 3–6 months |
| Multi-vehicle corporate event | 1 month | 2–3 months |
These are the dispatch desk's planning guides, not rules. A quiet Tuesday in February can often be booked the day before; a Saturday in June may be full weeks ahead.
Why the vehicle matters most
HamiltonLimo.net's own fleet is business sedans, first-class sedans, executive SUVs, luxury vans and Sprinters. There are more sedans than any other class, so sedans are the easiest to book at short notice. There are fewer SUVs and Sprinters, and they are wanted by weddings, airport families and groups at the same time.
The celebration vehicles (stretch limousines, Rolls-Royces, party buses and coaches) are supplied by vetted partners in the LimousineWorldwide.Directory network. There are far fewer of them in the region, and on peak dates every one is taken. That is why the prom and wedding lead times above are measured in months.
The Hamilton-area calendar: when to book earliest
Some dates fill early every year. Build your plans around them.
- January: the Niagara Icewine Festival weekends; winter storms make early airport bookings sensible. Check dates on the Niagara Wine Festival site.
- March: March Break airport runs to Pearson, Buffalo and Hamilton airport.
- April to June: prom and graduation season. Stretch limousines and party buses go first.
- June: university convocations. McMaster's spring convocation is usually in June; check McMaster University for dates.
- May to October Saturdays: weddings. Sprinters, first-class sedans and Rolls-Royces book out.
- June to November: Tiger-Cats home games at Hamilton Stadium (the former Tim Hortons Field); Sprinters for fan groups. Schedules are on the Tiger-Cats site.
- September and October: the Niagara harvest and wine festival weekends; SUVs for wine days are in demand.
- December: holiday parties, airport runs before Christmas and New Year's Eve.
Never assume a festival date from last year; always check the official site.

Why booking early costs you nothing
The sitewide cancellation rule is measured from the scheduled pickup:
| When you cancel | Charge |
|---|---|
| More than 72 hours before pickup | No charge |
| 72 hours or less | 10 % of the fare |
| 48 hours or less | 50 % of the fare |
| 24 hours or less, or no-show | 100 % of the fare |
So a prom limousine booked in February and cancelled in April costs nothing. Prices do not rise as the date approaches either: HamiltonLimo.net does not surge, and the planning ranges on the rates page apply whether you book six months ahead or six days ahead. Early booking only secures the vehicle.
Can I book a limo last minute?
Sometimes. A sedan for an airport run or a few hours on a weekday is often available at short notice, because there are more of them. A same-week Sprinter on a June Saturday, or a stretch limousine on prom night, usually is not. If your date is close, try the reservation engine first; if the class you want is not available, dispatch will tell you honestly and may suggest another class, such as two executive SUVs instead of a Sprinter or a first-class sedan instead of a stretch.
What we will not do is promise a vehicle we do not have. A booking confirmed by the engine is a booking we can cover.
Airport runs: why 24 hours is the floor
For airport transfers, dispatch assigns chauffeurs and vehicles the day before so every early pickup is covered. A request made the evening before a 5 a.m. Pearson departure can often be met, but not always. Pearson is about 70 km and 45–65 minutes from downtown Hamilton, and a 4 a.m. pickup on the Mountain is a real commitment for a chauffeur. Book 48 hours or more ahead for early flights, and add flight numbers so arrivals can be tracked. Our post on an early flight from Pearson leaving Hamilton sets out timings.
Weddings: the order to book things in
Wedding transport is usually booked after the venue and photographer, and before invitations go out.
- Fix the ceremony and reception venues and the date.
- Draft a timeline with the photographer.
- Book the couple's car and the wedding-party vehicle as soon as the timeline exists, ideally six to twelve months ahead for Saturdays from May to October.
- Confirm guest shuttles once the guest count is clearer, two to three months ahead.
- Send final addresses and times to dispatch two weeks before.
A coordinator prices multi-vehicle weddings in writing. Our guide on how to book a wedding limo walks through the details.
Proms: book before the tickets are sold
Prom groups tend to decide late and find the stretch limousines taken. The fix is to book the vehicle as soon as the prom date is announced, even before the group is final, knowing it costs nothing to cancel more than 72 hours out. A four-hour minimum applies to stretch limousines ($350–450 per hour from partner operators), so a four-hour prom booking is $1,400–1,800 before HST. Parents can read prom limo rules for parents.
Corporate and group events
For conferences at the Hamilton Convention Centre, roadshows and client days, book once the agenda is set. Multi-vehicle programmes need two to three months in busy seasons so the right mix of sedans, SUVs and Sprinters is held. A corporate account lets assistants book several travellers and change names later. See corporate car service.
Hourly chauffeurs for appointments and errands
A private chauffeur for a medical appointment or a day of errands is usually a sedan booking, easy to arrange at 48 hours' notice. For recurring weekly slots, book the whole series at once so the same chauffeur can be requested each time. If a medical appointment moves, change the booking as soon as the clinic calls; time changes are free while they can be covered. Days that combine an appointment with a Toronto specialist visit (68 km, 50–75 minutes to downtown) deserve a week's notice, because they take a chauffeur out of Hamilton for most of the day. See hourly chauffeur service in Hamilton.

Three typical scenarios, and how lead time changes them
These are illustrations of patterns the dispatch desk plans around every year, not individual clients.
The wedding cars left until summer. A couple with a September Saturday wedding in Ancaster books the venue and photographer in January but leaves the cars until July. The first-class sedan may still be free; the Sprinter for the wedding party often is not, so the party travels in two executive SUVs. That works, but it costs more and splits the group for the photographs.
The prom group that books early. A group of ten reserves a partner stretch limousine the week the prom date is announced. If two people drop out in March, the booking simply stays for eight; nothing needs cancelling. On prom night, when every stretch in the region is out, the early group has its car.
The late-night Pearson arrival. A sedan from Pearson at 11:40 p.m., booked two days ahead, is usually easy on a weekday in November. The same request on the Sunday before Christmas, when every chauffeur is already on the airport runs, may not be.
Booking for someone else
Families often book for parents, and assistants for executives. Book as early as you would for yourself, put the passenger's name and mobile number in the booking, and add a note if they need help at the door. The confirmation and the chauffeur's details go to the booker by email, so you know exactly who is collecting Mom from the clinic or your client from the airport. For recurring appointments, book the whole series at once.
Holiday weekends and long weekends
Victoria Day, Canada Day, the August Civic Holiday, Labour Day and Thanksgiving weekends mix airport traffic, cottage runs and weddings. Book at least a week ahead for anything on those weekends, and two to three weeks for SUVs and Sprinters.
What to have ready when you book
- Date, pickup time and full address, including unit numbers and gate codes.
- Destination, or the number of hours and a rough plan.
- Number of passengers and bags, and any oversized items.
- Flight or train numbers for arrivals.
- Child seats needed, with ages and weights ($10–15 each planning figure).
- Any accessibility needs. Our fleet has no ramp-equipped vehicles; we fold and stow wheelchairs and walkers for passengers who can transfer.
When to confirm the details again
Book early, then confirm late. Dispatch recommends a quick check of addresses and times two weeks before a wedding or prom, 48 hours before an airport run or group booking, and the day before for anything with several pickups. Changes to time or address are free while they can still be covered.
