Convention and trade show car service from HamiltonLimo.net covers airport arrivals, delegate shuttles and hourly chauffeurs for exhibitors at the Hamilton Convention Centre and venues from Burlington to Toronto. Planning figures: Pearson to downtown Hamilton $245–300 in a sedan (about 70 km, 45–65 min), YHM $90–115 (15 km, 20–25 min); hourly $120–145 in a sedan, $330–385 in a Sprinter, all-in plus HST.
Convention car service: what event teams actually book
Conference transport has three layers, and most events need all of them. Arrivals and departures: speakers, executives and delegates landing at Pearson, Hamilton or Billy Bishop and needing to reach the hotel or venue on time. Shuttles: repeated loops between hotels, the venue and an off-site dinner, usually in Sprinters. Hourly cars: a chauffeur kept for a keynote speaker, a sales team visiting clients between sessions, or an exhibitor with samples to move. HamiltonLimo.net handles all three from one dispatch desk. For the hourly layer, the hourly chauffeur in Hamilton is the lead product: one car, one chauffeur, from a 3-hour minimum to a full day. For company-wide programmes, the corporate car service page explains accounts and invoicing.
The Hamilton Convention Centre downtown
The Hamilton Convention Centre sits at 1 Summers Lane in the heart of downtown, run by Carmens Group, with exhibition halls, ballrooms and meeting rooms over three levels. It connects to the Sheraton Hamilton, FirstOntario Concert Hall, the Art Gallery of Hamilton and Lloyd D. Jackson Square, so many delegates never go outside between the hotel and the sessions. For drop-offs, our chauffeurs use the King Street West and Main Street West sides and Summers Lane when it is open; the centre's own site posts garage and access changes, and in autumn 2026 it notes that garage entry is from King Street. The renovated TD Coliseum is a few blocks north on York Boulevard, so a big concert night can slow downtown streets during an evening reception; we build that into pickup times.
Other venues we serve: Burlington, Mississauga and Toronto
Many Hamilton-based companies exhibit or attend in the wider region. In Burlington, the Burlington Convention Centre on Burloak Drive near the QEW hosts events for up to 1,500 guests. Near Pearson, the International Centre in Mississauga and the Toronto Congress Centre host many of the region's big trade shows. Downtown Toronto has the Metro Toronto Convention Centre on Front Street West beside Union Station, and Exhibition Place, home of the Enercare Centre, by the lake. Each venue has its own loading docks, taxi lanes and security rules, and our chauffeurs follow the organiser's instructions on the day.
Planning fares for convention transfers
These are planning ranges for a business sedan, one way, all-in (chauffeur, vehicle, fuel, any 407 tolls, airport fees, gratuity) with HST shown separately. The reservation engine quotes the exact address, date and vehicle before you confirm.
| Transfer | Distance | Drive time | Sedan one way | Sprinter one way |
|---|---|---|---|---|
| Hamilton airport (YHM) to Hamilton Convention Centre | about 15 km | 20–25 min | $90–115 | $250–315 |
| Toronto Pearson (YYZ) to Hamilton Convention Centre | about 70 km | 45–65 min | $245–300 | $675–825 |
| Billy Bishop (YTZ) to Hamilton Convention Centre | about 70 km | 55–80 min | $275–340 | $755–935 |
| Union Station Toronto to Hamilton Convention Centre | about 68 km | 50–75 min | $270–330 | $745–910 |
| Downtown Hamilton hotel to Burlington Convention Centre | about 30 km | 25–35 min | $90–120 | $245–325 |
| Downtown Hamilton to Pearson-area venues | about 60–70 km | 40–60 min | $195–300 | $530–825 |
A Business SUV (Tahoe or Yukon, up to 5 passengers and 5 bags, room for a banner stand) is about 1.3 times the sedan figure, $320–390 from Pearson; an executive SUV is about 65 % more than the sedan, and a first-class sedan about 2.5 times the business sedan. For a keynote speaker or a leadership team of up to seven, the Jet Sprinter is a VIP lounge Sprinter with captain's chairs and work tables: about $1,140–1,395 from Pearson, or $650–750 an hour. See every class on the HamiltonLimo.net rates page.
Hourly chauffeurs for exhibitors and speakers
Exhibitors rarely need a single trip. They need a car in the morning to bring samples and a banner stand to the loading area, a run to a client lunch, a trip back to the hotel for a forgotten cable, and a ride to dinner. That is an hourly day. A 4-hour sedan booking is $480–580 all-in plus HST; a full 10-hour day in an executive SUV runs around $1,900–2,350. For keynote speakers, the chauffeur meets the flight, drives to the hotel, returns for the talk, waits during the session and then takes the speaker to the airport. On a split day, ask for two hourly blocks rather than one long one; the engine prices each block separately and you only pay for the time you use.

Delegate shuttles between hotels and venues
When hundreds of people move at the same time, Sprinters beat cars. Each of our Sprinters seats up to fourteen with luggage room; for a shuttle loop we assign one or more vehicles for a block of hours and run a timetable you set, for example every 20 minutes between two hotels and the venue from 7:00 to 9:30 in the morning and 4:30 to 7:00 in the evening. Larger programmes add coaches (24–56 seats) from vetted partner operators in the LimousineWorldwide.Directory network, and a coordinator prices the whole plan in writing. See Sprinter group transportation for vehicle details and employee and crew shuttles for recurring runs.
Pearson and YHM arrivals for delegates
Most out-of-town delegates land at Toronto Pearson, about 70 km from downtown Hamilton. We track every flight and adjust pickup to the actual landing; included waiting is 30 minutes after landing on Canadian and US flights and 60 minutes on other international arrivals. The fare includes curbside pickup at the terminal's commercial pickup area; meet and greet inside arrivals with a name board is an optional add-on at a planning figure of $25–35. John C. Munro Hamilton International Airport (YHM) in Mount Hope is 15 km from downtown via Upper James and the Linc; check flyhamilton.ca for current routes. Our Hamilton to Pearson limo page covers the airport run in detail.
Managing a delegate list
For conferences with dozens of arrivals, send us a spreadsheet: name, mobile number, flight number, arrival time, hotel and any special needs. Dispatch builds the plan, groups arrivals that land close together into shared Sprinters or SUVs, and books single cars for VIPs. Each passenger gets a text with the chauffeur's name, vehicle and plate. Changes on the day go to one dispatch desk, not to twenty drivers. After the event you receive one itemised invoice by passenger or cost centre, which your finance team will appreciate more than a stack of taxi receipts.
Gala dinners and off-site receptions
Many conferences end the day at a winery, a waterfront restaurant or a heritage venue. Popular off-sites for Hamilton events include venues near the Royal Botanical Gardens, the waterfront at Pier 4 and Bayfront Park, and Niagara wineries for a full-evening programme. We run Sprinters or coaches out and back, with a timed return and a late car for people who stay on. For the organising side of galas and awards nights, see corporate events and galas. For a Niagara off-site, allow 45–60 minutes each way and book extra time for the return.
Trade show timing and traffic
Show set-up days start early and end late; tear-down on the last day often runs into the evening. Morning rush on the QEW and 403 towards Toronto is heaviest from about 6:30 to 9:30, and the evening peak back to Hamilton runs from 3:30 to 7:00. A Pearson-area show with an 8:00 set-up means leaving Hamilton around 6:45. We plan every run against live traffic and use the 407 ETR when it saves real time; the toll is already in the fixed fare. For downtown Toronto venues, Union Station is often faster by train, and our Union Station transfer covers both ends of that option.
Roadshows and site visits around the show
Many visitors combine a trade show with site visits: a tour of McMaster Innovation Park, a plant in Stoney Creek or a distribution centre near the airport. An hourly chauffeur handles that circuit easily and waits at each stop. Our roadshows and site visits page explains how we plan multi-stop days for investors and executives. For a visiting team, a first-class sedan or executive SUV gives a quiet place to prepare between meetings.
Luggage, samples and display materials
Business sedans take three passengers and three bags; SUVs and luxury vans take six and six; Sprinters take fourteen and fourteen. For display kits, sample cases and banner stands, tell us sizes when you book: a van or Sprinter with the rear seats configured for cargo is often the right choice. We carry display materials, not freight; for pallets and crates use the show's official freight contractor. Chauffeurs help load and unload at the curb or the loading dock the organiser designates, but venue rules on who can enter the hall vary.

Accessibility for delegates
Tell us about accessibility needs on the delegate list. Our own fleet has no ramp-equipped wheelchair-accessible vehicles; for passengers who can transfer to a seat, chauffeurs fold and stow wheelchairs and walkers. For delegates who need a ramp vehicle, we refer you to a specialist accessible provider and coordinate timing with the rest of your plan so nobody arrives late. Planning this early avoids a scramble on arrival day.
Billing, invoices and corporate accounts
Event bookings can be paid by card at booking or billed to a corporate account with one invoice per event. Each ride is priced as a fixed all-in fare with HST shown separately, so your budget is set before the first delegate lands. For recurring events, we keep your preferences on file: vehicle class, meet-and-greet defaults, and who approves changes. The corporate page explains how to open an account.
How to book convention transport direct
Book single cars and hourly chauffeurs on HamiltonLimo.net's own reservation engine: enter the pickup, destination or number of hours, date and vehicle class, and the engine shows a fixed all-in fare before you confirm. For shuttle programmes and multi-vehicle plans, send your schedule and a coordinator prices it in writing. Booking direct means one dispatch desk, no app and no aggregator commission. Cancellation is free more than 72 hours before pickup; 10 % applies at 72 hours or less, 50 % at 48 hours or less, and 100 % at 24 hours or less or on a no-show.
Speakers, VIPs and protocol
Keynote speakers, board members and visiting executives often need a little more care than a delegate shuttle. For these passengers we assign a first-class sedan or executive SUV, one named chauffeur for the whole stay, meet and greet inside arrivals if you add it, and a pickup plan agreed with your event team in advance. The chauffeur waits at the venue during the session, keeps water and a phone charger in the car, and adjusts to schedule changes through a single contact on your side. Confidential conversations stay in the car. If a speaker is moving between Hamilton, Toronto and a Niagara dinner in one day, a full-day hourly booking is usually the simplest and most predictable option.
Peak weeks for events in Hamilton
Downtown Hamilton hotels and our fleet both fill up when a large convention overlaps with a Tiger-Cats home game, a big TD Coliseum show or convocation at McMaster. If your event lands on one of those weeks, confirm transport as soon as the venue contract is signed. We do not raise fares in busy weeks, but we can run out of Sprinters.
